Step-by-step

Here’s the New Zealand importer’s guide to finding, comparing and selecting shipping quotes from top local freight forwarders, and what happens once you’ve chosen the perfect forwarding solution for your shipment. Simple, really.

1. CHOOSING YOUR SHIPPING SOLUTION

First, you enter your shipment details and choose your inclusions

Then, The Index Freight Calculator displays rates for you to compare

Next, you select the best option and confirm your wish to proceed (you must be registered and logged in)

Finally The Index:

  • Collects your payment details using a secure connection
  • Shares your contact details with the successful forwarder and vice versa.

YOUR SHIPMENT STATUS: PENDING

YOUR INVOICE STATUS: PENDING

2. GETTING THE SHIPMENT UNDER WAY

The Forwarder contacts you to arrange pick/up collection (arrangement confirmed by direct email) and, when in receipt of shipment, confirms weight and dimensions and updates the ETA (estimated time of arrival). From this point, any change in status or ETA will be updated by the forwarder on your My Shipments page.

  • If there is NO variation in the shipment, with respect to the information you input on the Freight Calculator, the shipment proceeds

YOUR SHIPMENT STATUS: IN TRANSIT
YOUR INVOICE STATUS: AWAITING PAYMENT


However, if the shipment varies in weight/dimensions, and/or there is an ex-works (EXW) component to your shipment, The Index estimate will be recalculated:

YOUR SHIPMENT STATUS: QUOTED
YOUR INVOICE STATUS: PENDING

  • If the recalculated total varies from The Index quote by LESS than 10%, then you are notified of the change, and the shipment proceeds. You receive an invoice for the shipment:

YOUR SHIPMENT STATUS: IN TRANSIT
YOUR INVOICE STATUS: AWAITING PAYMENT

  • If the recalculated total is MORE than 10% greater, you are notified of the change, and must confirm your acceptance of the quote before the shipment proceeds. If you DECLINE the new quote, the shipment is cancelled. (If you do not respond within 24 business hours, the shipment is automatically cancelled.)

YOUR SHIPMENT STATUS: CANCELLED
YOUR INVOICE STATUS: CANCELLED

  • If, however, you ACCEPT the new quote, the shipment will proceed

YOUR SHIPMENT STATUS: IN TRANSIT
YOUR INVOICE STATUS: AWAITING PAYMENT

3. PAYMENT & DELIVERY

You pay either on receipt of the invoice, or 2 days prior to delivery of the shipment. When payment is received:

YOUR INVOICE STATUS: PAID

 

The Forwarder delivers the shipment as agreed.

YOUR SHIPMENT STATUS: DELIVERED

YOUR SHIPMENT STATUS: COMPLETE
